Subcontractor insurance and lien-waiver desk

Complete pay packets. Current certificates. Every month.

Keptridge collects and checks your subcontractors' certificates of insurance and lien waivers, chases whatever is missing or wrong, and hands your office a complete packet before your billing deadline.

Get a free certificate check

Send us up to 25 certificates and your insurance requirements. You get back a list of what is expired, missing or does not match.

Why it costs you

  • Every subcontractor certificate expires within a year, and many arrive with the wrong limits, endorsements or certificate holder.
  • Premium audits ask for proof of coverage for the subs you paid. Payments to subs who cannot show valid coverage can be counted as your own payroll, which raises your premium.
  • A monthly draw can stall until every sub and supplier returns the right waiver, with the right amount and through-date.
  • Your office ends up chasing the same people by email every month.

What we do

Certificate tracking

We check each certificate against your contract requirements (limits, additional insured, waiver of subrogation, dates), log it, and request corrections from the sub or their insurance agent. We remind before anything expires and chase renewals.

Monthly pay-packet desk

We collect conditional and unconditional waivers from every tier, check names, amounts and through-dates against the pay application, and chase whatever is missing until the packet is complete.

Status board and monthly report

One view of who is compliant, who is holding up payment, and what we are doing about each.

How we start

  1. Free certificate check

Up to 25 certificates checked against your requirements, with a list of exceptions.

  2. One billing cycle

We run one month's certificates and waivers for three to five of your projects.

  3. Monthly desk

We run it every month across your active projects.

What we do not do

  • We do not issue or alter certificates, and we do not advise on whether coverage is adequate. That is your insurance agent's job.
  • We use your forms or the statutory waiver forms where a state requires them, and we never draft waiver language or give legal advice.
  • We do not sign or notarize anything for you or your subs.

How we handle your information

  • We work in your email, project management and accounting tools as a named user, or in a shared folder you control. You can remove our access at any time.
  • W-9s and tax ID numbers stay in your own storage. We keep them out of email and out of AI services.
  • We work with business information only.

Questions

Do you work in Procore and similar tools?

Yes, as a named user on your account, or alongside them if you track things in email and spreadsheets.

Who contacts our subs?

Your choice: we send requests from a Keptridge address on your behalf, or we draft them in your mailbox for your team to send. Either way the wording is yours to approve.

Which states do you cover?

General contractors anywhere in the US. Where a state sets a statutory waiver form, we use that form.

What does it cost?

It depends on the number of active projects and subcontractors. We quote after the free check.
